OrthoVaultOS is a personal notes and surgical workflow app for orthopedic surgeons and residents. It lets you organize procedure steps, surgeon preferences, implant references, and operative pearls in one place — available on macOS and Windows. It isn’t limited to orthopedics, either: any surgeon in any subspecialty can use it today to build the same kind of personal library — orthopedics is just the only subspecialty with ready-made procedure templates so far.
OrthoVaultOS is designed for any subspecialty — surgical residents, fellows, and attending surgeons who want a fast, organized way to reference cases, capture surgeon preferences, and build their personal knowledge base over a rotation or career. Right now, pre-built procedure templates only exist for orthopedic surgery, but the app itself works the same way for any surgical specialty — you can build out your own procedures and preferences from scratch.
Two ways, both included with every plan. The web app runs in any modern browser at orthovaultos.com/app, with nothing to install. The desktop app runs natively on macOS and Windows, and adds local file access and offline use of your library. There is no mobile app at this time, though the web app works on a phone browser and phone photo upload (Professional tier) is designed for uploading from your phone.
No. OrthoVaultOS is a standalone personal workflow tool and has no connection to any institutional EHR, clinical system, or hospital network. Your institution's EHR remains the official source of truth for all patient records.
Yes — it's designed for that. The interface is built for quick, one-handed reference so you can glance at steps, surgeon preferences, or implant details without breaking sterile field. Always ensure use complies with your institution's policies.
No. OrthoVaultOS is a personal workflow and notes tool, not a clinical record system. It does not comply with HIPAA or healthcare security regulations. Do not enter patient names, MRNs, diagnoses, or any identifying information into the app.
Your data is stored securely in the cloud, so it's always accessible from any device you're signed in to. We use Supabase encrypted cloud storage to keep your procedures, surgeon profiles, and notes safe and in sync.
Yes. In Account → Data & Privacy, Export everything downloads one .zip with your whole library and every uploaded file, and Import restores that file into any account. This is useful if you're moving institutions or want a personal backup.
Deleting your account is immediate and permanent: your library and uploaded files are removed from our servers straight away, and residual backups are purged within 90 days. Export your library first if you want a copy.
No. We do not sell your data, share your notes with third parties, or use your content for advertising. Anonymous aggregate usage analytics are used solely to improve the app.
Yes. The free tier includes 5 surgeon profiles and 5 procedure templates of your own with no time limit. You can also import the whole procedure library from the website for free; library procedures don't count toward those limits until you add your own content to them. When you first open the app you can start from a ready-made card for a common joint-replacement case. No credit card required to get started.
Essentials ($9.99/mo) gives you up to 10 surgeon profiles and 20 procedures, operative report import, and template import/export. Professional ($19.99/mo) adds unlimited surgeons and procedures, phone photo upload — upload intraoperative photos from your phone and access them directly in the app — and shared program workspaces for collaborating with your co-residents.
Yes. Cancel from your account settings at any time. You keep access until the end of your current billing period. No refunds are issued for partial months.
Not at the moment. The free tier is designed to cover most student and early-resident use cases. Reach out to support if you have a specific situation and we'll do our best to help.
We accept all major credit and debit cards through Stripe. Payments are processed securely — we never see or store your card number.
Create a free account and you're in. You can open OrthoVaultOS straight in your browser at orthovaultos.com/app with nothing to install, or download the desktop app for Mac or Windows from the home page. The setup takes under two minutes — pick your subspecialty, add your first procedure, and go.

The desktop app for Mac and Windows does everything the web app does and adds two things a browser can't: it reads files directly from your computer, and your library keeps working when you have no connection (files and videos you attached still need a connection to open). Your account and your plan are the same on both, and your library syncs between them on every plan, Free included.
Yes, on every plan, Free included. Sign in and your procedures, steps, surgeon preferences, implant lists, evidence links, uploaded images, files and videos, and notes sync automatically across every device you use, web and desktop alike — a status dot in Settings shows idle, syncing, synced, or error. Professional adds phone photo upload: a camera page for your phone that asks where each photo belongs and files it there.
On Professional, yes — shared program workspaces give your program a collaborative area that everyone on Professional can work in alongside their own private vault. On Free and Essentials, sync keeps your own library current across your own devices but doesn't share it with other users; you can still export a single procedure as a template and share that.
Each surgeon gets their own profile — gloves, suture sizes, tourniquet pressure, positioning notes, and the pearls they always mention. When you select a surgeon on any procedure, the entire panel reconfigures to their preferences automatically.
The AI assistant lets you ask surgical questions in plain language — "What are the key steps for a pelvic ex-fix?" or "Suggest implant sizing for a TKA." Quick Search's evidence summaries work the same way. Both are bring-your-own-key — available on every tier, including Free, no upgrade required.
To turn it on: open Settings in the app, and paste in an API key from either provider (or both) — console.anthropic.com for Claude, or aistudio.google.com for Gemini (Gemini has a free tier — no credit card needed). Each Settings section has a "Get one →" link straight to the right page.
In the desktop app, your keys sync between your desktop installs through your OrthoVaultOS account. They are stored there as plain text, not encrypted, so use a key you can replace. In the browser, your keys are saved only in that browser and do not sync. Browser requests to Claude pass through our server to reach Anthropic; the key is used for that request and not stored. Gemini requests go straight from your browser to Google. Usage is billed directly to your own Anthropic or Google account.
